When somebody's AC stops working in August, they don't wait for you to respond. They pull up Google and start contacting your competitors.
The name on the company doesn't matter, they just want an answer from a real person who's going to solve their problems.
You Already Won the Job
Think about how those messages reach you in the first place.
- Somebody found your company - liked what they saw, and sent you a message, which means they already picked you
- And then the message sat - because you were up a ladder or halfway through an install
- By the time you called back - they'd already booked somebody else
The job was basically yours. You didn't lose that job to a better company, you lost it to a faster one.
That's the part that sucks. The work you're losing you already won and the window to keep it only lasts a few minutes, because the other companies got the same message and one of them is going to answer.
Let Your AI Answer First
You can't fix this by answering faster yourself, because your job as the business owner is not to be manning the phones. The fix is having something answer for you the second the message comes in. And nowadays this is a job AI is finally good enough to do.
It doesn't need to sell anybody anything. Its only job is answering right away and getting them booked, and a good first reply needs four things:
- It goes out in the first minute or two, while they're still holding their phone.
- It sounds like a person from your company, not a machine confirming a ticket.
- It asks the right questions, gathering all the info you as the owner will need.
- It offers them a real time slot and books it, so they stop messaging around.
That last one is the most important because getting a time on the calendar is what makes them stop calling your competitors.
What a Good First Reply Looks Like
Say this comes in while you're on a roof:
"AC stopped blowing cold this morning and the house is at 85. Can someone come today?"
Here's what most companies send back, when they send anything at all, next to the same reply written the way you'd actually say it.

- The first one tells them nobody's coming. So they move on to the next company on their list.
- The second one puts the job on the calendar before Mike has even climbed down.
Same company, same roof.
The Part Most People Miss
Think about what it cost to get that message in the first place. You don't want to miss out on those.
- The ads
- The website
- Whoever you paid to get you showing up in search results
Adding an AI response system into your business is what turns a call at 9pm at night into an 8am job the next morning, all while you're asleep.
One Thing to Try This Week
Write the message that goes out before you can get to your phone.
- Open Claude and talk for five minutes. What do people message you about, and what do you need to know before you can give them a price?
- Ask it to write the reply they should get in the first minute. It should sound like you, ask that one question, and offer a real time instead of a callback.
- Take a look at the bolded question below and really think how long it would sit.
If somebody messaged you mid job, how long would it sit before you saw it?
